Set up departments, locations, and employee memberships for jobs, reporting, and approvals.
Org Structure
Set up your organization structure so recruiters can consistently assign departments and locations to jobs and requisitions. Organization Admins can also identify each person's primary department and any additional department memberships.
Understand the structure
- Departments organize the business in a hierarchy, such as Engineering → Frontend.
- Locations are a flat list. Each location can be Remote, Hybrid, or On-site.
- Department memberships connect team members to one or more departments. Each person can have one primary department.
- Access groups control job visibility when granular permissions are enabled. They are separate from departments and locations.
Departments and locations are always available; they do not require an optional feature to create or use.
Set up departments and locations
- Open Settings → Org Structure.
- Add your departments. Create child departments inline under the selected parent when you need a reporting hierarchy. Confirm archive actions in the product dialog.
- Add each hiring location and choose Remote, Hybrid, or On-site.
- Open People and assign each team member a primary department. Add secondary memberships where needed. To add many people at once, upload a CSV from Org Structure → People or Settings → Team.
- Open Settings within Org Structure and choose whether department and location selections should be required.
Import a full team CSV
Organization admins can preview and import the whole team from one CSV instead of inviting people one by one.
- Open Settings → Team or Org Structure → People.
- Download the template and fill
email,first_name,last_name,role,department_path,location,title, andmanager_email. - Upload the file, correct any row errors in the preview, and review the dry-run summary.
- Confirm the import. Missing departments and locations are created only after that confirmation.
The same email is not invited twice. Manager emails in the file are resolved after people are created, and cycles or unknown roles are flagged before anything is saved.
When strict department mode is on and at least one department exists, recruiters must choose a department when creating or editing a position or requisition.
Import names from existing jobs
If your organization previously used typed department or location names:
- Open Settings → Org Structure.
- Select Import from existing jobs.
- Review the names found in existing positions and requisitions.
- Complete the import to create matching entries and connect records whose names match, regardless of capitalization.
Review the results afterward. Similar but differently spelled names may need to be consolidated manually.
Use departments and locations
Recruiters choose departments and locations when creating positions, requisitions, and intake requests. These selections support careers-page organization, reporting, and approval rules.
If job governance is enabled, Organization Admins can create approval rules for a department, a location, or both. A child department inherits a parent department's rule unless a more specific rule applies. A Department manager approver is resolved from the job or requisition's department and then its parent departments.

Planned integrations
Automatic department mapping from external applicant tracking systems, directory-group synchronization, and automatic department-and-location permission rules are planned. Do not rely on them for current setup.
