Surveys
Build surveys for candidates and hiring managers, then send them automatically after a hire, a rejection, a completed journey, or a closed job — including 30/60/90-day follow-ups.
A survey is a set of questions you send to candidates or hiring managers. A campaign decides who receives it and when: right away, on a schedule, or automatically when something happens in hiring — with optional checkpoints such as 30, 60 and 90 days after a hire.
Open Hiring → Surveys. If you do not see it, ask your InsightHire contact to enable surveys for your organization.
Start from a template
- Open Surveys and choose New survey.
- Pick a template. Each one ships with questions and a suggested campaign:
- Quality of hire (hiring manager, 30 / 60 / 90) — asks the hiring manager how the new hire is working out.
- New hire check-in (30 / 60 / 90) — asks the new hire whether the role matches what was promised.
- Candidate experience — a short NPS pulse after a decision.
- Declined candidate feedback — for candidates who were not selected.
- After the screening journey — fires when a candidate completes their journey.
- Job closed — all applicants — one survey to everyone who applied once the job is filled or closed.
- Hiring manager satisfaction — sent to the hiring manager when a job closes.
- The survey opens with the suggested campaign pre-filled. Review it, choose a job (or leave it on All jobs), and choose Save & activate.
Choose Blank survey to start from scratch.
Build the questions
On the Build tab:
- Choose Add question and pick a type: NPS (0–10), rating, agreement scale, single or multiple choice, yes / no, short or long answer, date, or a section header.
- Write the question. You can use merge fields such as
{{organization_name}},{{candidate_name}}and{{position_title}}. - Mark it Required if the respondent must answer.
- Drag questions to reorder them.
- To show a question only when an earlier answer matches, turn on Only show this question if… and choose the question, condition and value.
- Choose Save questions.
Use Preview to try the survey exactly as a respondent sees it, in your organization's branding.
Activate the survey from the header when it is ready. Campaigns only send while the survey is active.
Send it with a campaign
On the Distribute tab, choose New campaign.
When does it send?
- Automatic — fires on a hiring event. Choose the trigger (candidate hired, candidate declined, stage change, offer accepted, journey completed, or job closed) and one or more checkpoints. For a 30/60/90 series, select Day 30, Day 60 and Day 90; each checkpoint is its own invitation.
- Send now — a one-off send to an audience you choose.
- Schedule — a one-off send at a date and time.
Who receives it?
- Candidate — the applicant or new hire the event is about.
- Hiring manager — the hiring manager(s) on the job. For hire and reject triggers the survey is about that specific candidate.
- Specific people — pick from your teammates, the job's hiring team and your candidates, or type an address for anyone outside InsightHire. Start typing a name or email to search; press Enter on a full address to add it, or use Paste a list for many at once. Each person appears as a chip you can remove.
Which job? Leave All jobs to run the automation across the organization, or pick one job.
You can also set a reminder (one nudge after N days) and a link expiry.
Invitation email. Write the subject and intro yourself, or choose Draft with AI to generate both from the survey, the trigger and the job. Pick a tone (warm, professional or concise), add any notes, then Generate, review the preview and Use this draft. The draft uses merge fields such as {{recipient_first_name}} and {{position_title}} so it works for every recipient, and nothing is saved until you save the campaign. Once you have copy in place the button reads Improve with AI and rewrites what is there.
Knowing when feedback arrives. Whenever a hiring manager or teammate submits a response, the campaign owner (whoever created the campaign) gets an email with a summary and a link straight to the results. Candidate responses stay quiet by default so a large campaign does not flood your inbox. Turn on Notify me on every response to also be emailed for each candidate response and to get a follow-up task in Hiring → Tasks for every response, whoever it comes from. You are never notified about your own answers.
To send the survey to a handful of people right away, use Send to people on the Distribute tab. It uses the same people picker and the same Draft with AI button.
Pause, resume and archive
- Pause holds any scheduled invitations. Resume lets them send again.
- Archive cancels anything not yet sent. Responses already collected stay on the survey.
- Archiving the survey pauses every campaign attached to it.
Read the results
The Results tab shows:
- The funnel — invited, delivered, response rate — and the NPS score where the survey has an NPS question.
- A trend across checkpoints when a campaign sends at 30, 60 and 90 days.
- A breakdown per question: distributions for scores, counts for choices, and the latest free-text answers.
- Individual responses, expandable to every answer.
Filter by campaign or checkpoint, and choose Export CSV for a spreadsheet.
Each job also has a Surveys tab showing which campaigns cover it and every invitation sent about it.
Surveys in Analytics and Reports
Analytics → Surveys shows the response funnel, overall NPS with promoters and detractors, a weekly NPS trend, NPS by checkpoint (immediate, day 30, 60, 90), who is responding (candidates vs hiring managers), and breakdowns by survey and by job — all following the date and job filters you set for the rest of Analytics.
In Reports, the Surveys entity exposes every response (survey, campaign, respondent type, checkpoint, NPS score, time to complete, job) for custom reports and dashboard widgets. Ready-made templates under Experience & compliance: Survey NPS by checkpoint, Survey NPS by survey, Survey responses by job, and Hiring-manager quality-of-hire responses. Add any of them to a dashboard or schedule them by email like other reports.
Respondents
Respondents receive an email with a personal link. They do not need an account. Links can be copied from the invitations table if you want to share one another way.
If Anonymous responses is on in the survey's Settings, names and emails are hidden in results and exports.
