Candidate communications
Email candidates from the dashboard, track threads, and monitor deliverability.
InsightHire centralizes recruiter ↔ candidate messaging alongside automated journey and template emails. Every outbound and inbound message for a candidate rolls up into one thread.
Send a message
From a candidate profile
- Open
/dashboard/candidates/[id]. - Click Messages (opens the messages panel or navigate to
/dashboard/candidates/[id]/messages). - Compose subject and body; send.
Candidates reply to their unique reply-to address; inbound replies append to the same thread.
From a position
On /dashboard/positions/[id], open the messages modal on any applicant row — same component as the candidate profile.
Bulk and invites
- Single / bulk invite with custom note:
/dashboard/candidates/invite - Journey and stage-change emails fire from automations (custom pipelines when enabled) and system templates
Thread contents
Each thread can include:

Recruiters see delivery status and errors on outbound items when a send fails.
Email deliverability analytics
Monitor org-wide email health at Analytics → Email deliverability (/dashboard/analytics/emails):
- Sent, delivered, opened, clicked, bounced, complained — by day
- Breakdown by template category
- CSV export for ops reviews
Use this page when candidates report missing journey links or invite emails.
Notification preferences
Org members configure their own notification preferences at /dashboard/settings/notifications. This does not change what emails candidates receive — candidate-facing mail is driven by journeys, pipeline automations, and manual sends.
Compliance and retention
- GDPR and tenant export: Settings → Data Export (
/dashboard/settings/data-export) - Message content is included in candidate exports where applicable
- Do not include sensitive demographic data in free-text recruiter messages — use voluntary EEO collection (
/dashboard/settings/compliance) instead
Tips
- Prefer the in-app thread over personal email clients so the hiring team retains context.
- After bulk invite from
/dashboard/candidates/invite, check/dashboard/analytics/emailsif open rates are unexpectedly low. - Pair messaging with Review queue (
/dashboard/review) — send advance/reject notes when moving stages.
