Live interviews
Schedule live interviews, Microsoft and Google calendar integration, candidate scheduled interviews, templates, and question categories.
Live interviews in InsightHire cover synchronous panels — phone, video, on-site — scheduled after async journey evidence. They complement async video nodes with calendar-backed meetings, interviewer assignments, and (when enabled) structured scorecards.

Scheduling interviews
Schedule from multiple entry points:
| Entry point | Use case |
|---|---|
| Position pipeline | Select candidate → Schedule interview |
| Candidate profile | Schedule modal on candidate detail |
| Review queue / journey report | Advance to interview stage, then schedule |
/dashboard/interviews/create | Ad-hoc interview creation |
The Schedule Interview modal captures:
| Field | Notes |
|---|---|
| Title | e.g. "Technical round — [Candidate]" |
| Date & time | Timezone-aware |
| Duration | Default 30–60 minutes |
| Interviewers | Team members receive calendar invites |
| Location type | In-person, phone, custom URL, Teams, Google Meet |
| Notes | Shown to interviewers and optionally candidate |
Microsoft Teams and Google Meet
When scheduling, select Microsoft Teams or Google Meet as location type:
- Connected calendar — InsightHire auto-creates the meeting link and sends calendar invites to interviewers and candidate
- Not connected — InsightHire sends
.icsemail invites without auto-generated video links; connect calendars under Settings → Integrations
Calendar capability checks:
calendar.capabilities → microsoft.connected / google.connectedConnect Microsoft 365 or Google Workspace in Settings → Integrations before relying on auto-generated links.
Candidate calendar experience
Candidates receive email invites with calendar attachments. They can view upcoming interviews on their candidate portal. Recruiters see the same events on:
- Position → Schedule tab (
?tab=schedule) - Upcoming interviews rail on the position pipeline tab
- Candidate profile → Scheduled interviews section
Rescheduling updates all parties when calendar integration is active.
Interview templates
Dashboard → Interviews → Templates (/dashboard/interviews/templates) manages reusable interview configurations:
| Template field | Purpose |
|---|---|
| Name & category | Organize by role type or stage |
| Difficulty | 1–5 guidance for interviewers |
| Questions | Ordered list from question library |
| Default duration | Pre-fills schedule modal |
Actions:
- Clone — duplicate and customize
- Search — filter template list by name
- Edit —
/dashboard/interviews/templates/edit/[id]
Templates speed scheduling but do not lock question content — interviewers can adjust per candidate.
Question library (live interviews)
Two related surfaces:
| Surface | Path | Purpose |
|---|---|---|
| Interview questions | /dashboard/interviews/questions | Questions scoped to live interview templates |
| Org question library | /dashboard/questions | Shared library for async video and assessments |
Pull questions into templates by category, difficulty, and tags.
Question categories
Dashboard → Interviews → Question Categories (/dashboard/interviews/question-categories) lists standard categories:
- Behavioral
- Technical
- Situational
- Leadership
- Culture fit
- And others with icon, color, and question counts
Categories are universal concepts across organizations — you create custom questions within any category rather than inventing new category taxonomies.
Use categories to:
- Filter the question library when building templates
- Report on interview coverage (are we asking behavioral + technical every loop?)
- Align with structured interview kits (flag:
structured_interviews)
Interview sessions list
/dashboard/interviews shows interview sessions with status filters:
| Status | Meaning |
|---|---|
NOT_STARTED | Scheduled, awaiting start time |
IN_PROGRESS | Active window |
COMPLETED | Finished — scorecards may be pending |
ABANDONED | No-show or cancelled |
Each row links to session detail and scorecard when assigned.
Structured feedback (flag: structured_interviews)
When the Structured Interviews grant is enabled, live interviews attach interview kits and scorecards. See Structured interviews for kits, panel feedback matrix, and enforcement settings.
Without the flag, interviews still schedule and store notes; scorecard workflows are hidden.
Reports
Completed interview evidence appears on:
/dashboard/interview-reports/[candidateId]/dashboard/reports/[journeyId]/[candidateId]/interview/[interviewId]- Journey report panel feedback section (when scorecards exist)
Best practices
- Connect one calendar provider per org before high-volume scheduling season
- Build 2–3 templates per role family (screen, technical, final)
- Use Schedule tab on the position for day-of coordination
- Assign interview kits before panels when structured interviews are enabled
- Confirm candidate timezone in the modal — avoids no-shows
