Build reusable onboarding plans, start them after hiring, and track new-hire tasks.

New-hire onboarding

Build repeatable post-offer checklists and give new hires one portal for completing assigned tasks. Recruiters can monitor each plan from the candidate's profile, and Organization Admins can review onboarding analytics.

New-hire onboarding is an optional organization feature. If Settings → Onboarding is missing, ask an InsightHire platform administrator to enable it.

Choose when onboarding starts

  1. Open Settings → Onboarding.
  2. Choose a start trigger:
    • Offer accepted starts onboarding after the candidate accepts.
    • Hired starts onboarding when the candidate is marked hired.
    • Start date offset starts onboarding a chosen number of days before the candidate's start date.
  3. If using a start-date offset, enter the number of days.
  4. Choose whether overdue-task reminder emails are enabled.
  5. Save the settings.

The start-date option requires a start date on the candidate's application.

Create an onboarding template

  1. Open Settings → Onboarding.
  2. Create a plan template and give it a clear name.
  3. Choose any matching criteria for department, location, or employment type.
  4. Add tasks in the order the new hire and staff should complete them.
  5. Add dependencies when one task must be completed before another becomes available.
  6. Save and activate the template.

InsightHire selects a matching template using the candidate's department, location, and employment type. Review those details before the start trigger occurs.

Add tasks

Templates support:

  • Checklist items.
  • Acknowledgement tasks.
  • Document upload.
  • External link.
  • Email.
  • Staff action.
  • Accurate background check, when the Accurate integration and a package are configured.
  • Onboarding NPS and Quality of Hire surveys when their survey configuration is connected.
  • Photo capture and ID verification, using upload and manual staff review.
  • Lightweight e-signature, with typed name, signature, and timestamp.

The electronic-signature task does not use DocuSign or Dropbox Sign. Photo and ID tasks do not perform automated verification through an identity-verification vendor.

Monitor a new hire

  1. Open the candidate's profile.
  2. Find the onboarding card in the sidebar.
  3. Review completed, available, blocked, and overdue tasks.
  4. Follow up on staff actions or manually reviewed uploads.
  5. Use Onboarding analytics to review progress across new hires.

New hires use the secure candidate portal link in their onboarding message to complete available tasks.

Compliance warning

Form I-9 and HRIS push may appear as future task or partner placeholders, but candidates cannot complete them. They do not provide Form I-9 or E-Verify compliance and do not create an employee in an HRIS. Do not use a placeholder, upload, acknowledgement, or manual review as legal compliance evidence.
